Wages Depending on qualifications, between $25 and $30 / hour

The Position

The Advancement Operations Associate plays a crucial role in supporting the College’s nonprofit functions. The position is responsible for a wide range of tasks related to donation processing, document management, mail handling, donor inquiries, and providing administrative support to ensure the smooth operation of fundraising activities. This position requires meticulous attention to detail, excellent organizational skills, and a strong commitment to the organization’s mission.

Essential Functions

The position’s primary day-to-day responsibilities are below, which are not exclusive or all-inclusive. Other duties may be assigned as needs arise.

  1. Provide excellent service to donors in responding to inquiries, processing gifts/donations and receipts, and other requests.
  2. Collaborate with team members to continuously manage the different modes of communications from donors: phone, email, and mail. Serve as the primary team member to receive and process mail received. Prepare and post letters and packages to donors as needed.
  3. Accurately create and maintain donor records of transactions and interactions via the organization’s CRM (Blackbaud Raiser’s Edge NXT) and other project management software and shared tools.
  4. Follow up with donors on credit card exceptions with focus on revenue recovery.
  5. Digitize records through data entry, scanning, and physical filing of records.
  6. Implement and uphold data integrity and optimization of systems and records by following, and sometimes developing, best practices.
  7. Generate reports of status, donor records, or other areas of work for the supervisor or other teams.
  8. Occasionally support logistics and offer hospitality to guests for events.
  9. Occasionally contact supporters to create awareness of upcoming events and or solicit support.
  10. Occasionally provide campus tours to guests as needed.

Required Education and Experience

  • Bachelor’s degree
  • Minimum of 1-2 years of work experience

Preferred Education & Experience

  • 2-3 years of nonprofit experience
  • 2-3 years of customer service experience
  • 2-3 years of data entry experience
  • 2-3 years of CRM experience

  • Demonstrated attention to detail and organization of documents
  • Ability to manage time and priorities independently
  • Ability to collaborate as part of the team in multiple locations
  • Demonstrated ability to work creatively and solve problems
  • Ability to adapt to new circumstances and changing priorities under pressure
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Excel
  • Ability to occasionally lift and move items weighing about 10-50 pounds for postal deliveries
  • Desire to learn from others and to grow an organization

Work Schedule

This is a hybrid position requiring at least three days of the week to be onsite. A few evenings and weekends are expected during events or other major projects.

Employment Requirements

  • Legally authorized to work in the United States
  • Successful completion of a background check
  • Valid driver’s license for occasional driving errands to the post office using their personal vehicle.
